Information collected
The native intake may collect adult-client identity and contact details, date of birth, address, service interests, goals, emergency-contact information, relevant health history, exercise-readiness answers, service-specific questionnaire responses, consent choices, electronic signatures, and submission timestamps. Coach-created assessment and training records may be linked later. NuBODY does not request Social Security numbers or insurance account numbers through this intake.
Why the information is used
Information is used to evaluate coaching readiness and service fit, identify private follow-up needs, plan appropriate coaching, maintain signed records, manage assessments and progress, respond to client requests, and support safety and business operations. The screening does not diagnose a condition or provide medical clearance.
Storage and protection
Sensitive intake payloads, signed-agreement copies, private notes, assessment details, and protected training fields are encrypted before database storage with a server-side protected key. Access is restricted through server-side Coach/Admin authorization or client-specific account checks. Protected-record access and management actions are logged where implemented. Internet transmission uses HTTPS.
Authorized access
Coach Bobbi and specifically authorized administrators may review information needed to provide and manage services. Clients may view only their own approved records through authenticated client features. Private Coach notes and confidential screening details are not included in ordinary notification emails.
Electronic records and signed copies
The system preserves the exact agreement accepted, its version, a cryptographic integrity hash, the participant signature, signing date, and server acceptance timestamp. An authenticated client or authorized Coach may retrieve a verified copy. Signed agreement content is protected from silent updates.
Client requests
Clients may contact NuBODY to request access to or correction of applicable records, or to request deletion. Identity and authority must be verified before a request is processed. Deletion may be limited or delayed by legal holds, safety needs, active services, disputes, required business records, linked records, provider capabilities, or other legally permitted obligations.
Retention, legal holds, and deletion
No final native-intake retention schedule is active. Technical controls support retention-review dates, legal holds, protected request records, and scoped deletion safeguards. No existing record is automatically deleted. A final schedule, backup lifecycle, and provider-specific deletion process require professional approval before launch.
Service providers and backups
Website hosting and database services store the native system. Resend may process limited notification information when configured. Jotform remains the current public registration provider and its historical records are separate. Stripe, Google Calendar, and other NuBODY providers are not given native health-history details through the intake notification workflow. Provider retention, backup restoration, deletion, incident handling, and contractual obligations require separate confirmation.
Security incidents
NuBODY maintains a draft procedure to contain suspected unauthorized access, preserve evidence, investigate affected systems, restore supported controls, and assess notification duties with qualified legal and privacy professionals. No specific legal notification obligation is represented as predetermined.
Adults only for the initial native launch
The first native-intake phase is limited to clients age 18 and older. Native minor submissions remain disabled pending approval of guardian verification, consent, privacy, and legal safeguards. The existing registration process remains available.
